VenueMirror gets a facelift and celebrates by giving away a week in Goa!

The VenueMirror website has had a fantastic facelift done to it! Everything about the website is now much more intuitive and it provides a richer experience when looking for great places to stay in various destinations.
In line with our ideals of only relevant information - we've tried to make it easier to gather as much information as possible about each hotel, their location, and what they look like in comparison to other hotels around it.
We are so happy with the new design that we're giving away a whole week in Goa to celebrate!
There's no catches, no restrictions, and no funny stuff. The give away is simple - the person that gets the most people to enter the competition before 11:59pm November 19th wins an entire week at a luxury resort in Goa at a date they choose! So start winning!

Facilitating M.I.C.E. Events
M.I.C.E. events are generally a lot of work, whether they are for one company organising a meeting for 20 - 30 people, a conference for 200, an Asian wedding for 400 guests, or an exhibition for thousands - the same initial process applies when it comes to sourcing venue space, or booking accommodation. VenueMirror has developed and deployed tools to specifically address the time spent in these activities, and optimises the steps involved, thereby reducing the cost to the organiser.
As these are two external factors which can form a large part of the cost of the event, they need to be handled carefully to ensure that overspending does not occur. The most common method of sourcing venuespace is to reach out to known hotel vendors, or banqueting space operators, talking to them individually and providing each of them with a specification of the event. They in turn process your request and come back with quotes, which the organiser will compare and then negotiate upon. This process involves a lot of back and forth between the organiser and the vendors, and can consume a large amount of time.
Furthermore, there's the potential problem that the space you finalise on doesn't have enough rooms to support the entire guestlist. This in turn means that additional quotes need to be sought for accommodation only rates, and another round of back and forth communication ensues.
VenueMirror has designed a product to take care of exactly this aspect, that optimises and streamlines this process. We call it Event Horizon. It allows for a Request for Proposal (RfP) to be created once - that specifies all your function requirements in a structured manner, and then dispatch it to preferred hotels. The solution is available free of cost to corporates and event planners, as we recognise the need for cost reduction during this time.
Furthermore, VenueMirror has a specialist division that takes care of accommodation sourcing as well - and provides bespoke web portals (like our one for the Economic Times AceTech 2009) to begin the process of helping delegates, or attendees secure accommodation at great rates. We can then provide on the ground facilitation at the event to ensure everything at the hotels, and in regards to transport goes well.
For large events, picking the appropriate hospitality partner is crucial as it is a major part of the guest experience. It also behests the organiser to work closely with the partner to ensure that every aspect of the customer experience, from booking, to check in, to daily transport, check out and airport transfer is prepared well in advance of the arrival of the guest.

What does M.I.C.E. (MICE) mean?
M.I.C.E. is a hospitality industry term that stands for "Meetings, Incentives, Conferences and Exhibitions". Conveniently enough, the size of each gathering generally increases as you progress into the acronym - so an incentive event is likely to be bigger than a meeting, and a conference is likely to be bigger than an incentive event.
While there is no standard quantification for how many people need to be involved in order for something to be considered a "MICE event", the general consensus is that it should be more than 10 or 15 people.
If we were to define each element of the acronym, then consider the following:
Meeting: A general term that indicates the coming together of a number of people in one place; usually to confer or carry out a particular activity. There is no particular frequency with which these are carried out, and so they can take place ad hoc, or according to a set pattern.
Incentive: An event that is offered to participants as a reward for previous performance. Usually incentive events are held for the top performers, and are designed to maintain motivation.
Conference: A participatory meeting designed for discussion, fact-finding, problem solving and consultation. Each conference usually has a predetermined limited duration with specific objectives that need to be met. They are designed to facilitate the exchange of information and encourage open discourse.
Exhibition: Events at which products and services are displayed.
MICE is usually considered to be a fantastic opportunity by governments as it allows them to demonstrate the infrastructure and attractions of their country. Countries like Singapore and Malaysia are running large campaigns to ensure they capture larger shares of the international MICE market, which in turn drives up business and tourism.
In my next post I'll talk more about MICE event facilitation!
